1. MAIN SUMMARY OF ROLE:

To provide Health and safety support, Reception, Domestic and Hospitality support to our client's facility and prestigious London offices, and to assist in 3rd party supplier management

2. KEY RESPONSIBILITIES:
• Sort, deliver, collect and despatch post (Royal mail)
• Administer cheque and cash donations when received within the post delivery
• Carryout H&S work station assessments
• Undertake H&S new starter inductions
• Work with contractors to reduce cost
• Provides annual training for Health & Safety
• Provide Fire Warden & First Aid support
• Coordinate meeting rooms bookings
• Organise meeting rooms for external visitors, including the ordering of refreshments, Lunches as required.
• Maintenance of the Kitchen facilities and stock levels.
• Cover reception duties & answer and redirect incoming calls
• Sign for deliveries and notify the relevant department
• Manage Door entry system and issue passes
• Liaise with stationery contractor and place stationery, business cards orders etc when required.
• Monitor both Fire alarm & Intruder alarm regularly and report any issues to relevant contractor
• Carryout daily building inspections, report any findings back to facilities department.
• Regular building inspection checks, reporting any issues found to appropriate 3rd party contractor.
• Weekly external visit and inspection to off site premises locally
• Regularly check and on occasion review CCTV
• Provide cover for facilities colleagues
• Provide administrative support when required
• Undertake such other duties as may be required from time to time.

QUALIFICATION(S), KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED FOR ROLE
4. Academic/Professional Qualification(s) or equivalent:
Essential Desirable
• GCSE English & Maths (Grade A-C Minimum) or
• NVQ Level 2 -Customer Services.
5. Knowledge/ Experience:
Essential
• Demonstrable experience of working in a Clerical/Reception environment.
• Managing family home or domestic service.
• Proven background in administration.
• Proven background in a facilities environment
6. Skills/Abilities:
Desirable
Essential Desirable
• Approachable, diplomatic and discreet.
• A positive and helpful attitude.
• Confident in dealing with senior staff and trustees
• IT Literate and competent with Microsoft applications
Other Requirements:
• Travel to other Fund and UK locations (as appropriate).
• Must be smart and presentable.
• To carry out any other duties that is within the scope of the job as requested by Facilities Manager and Head of IT &
Facilities.
